Process automation

Less repetitive work. More time for your business.

Creating records, following up, routing approvals and preparing reports: we simplify your processes and automate the steps taking up your team’s time, using your tools and the approvals you need.

An example workflow

A request arrives. The right steps follow.

  1. The request comes in

A form submission or an event in your software starts the process.

  2. The work is prepared

Information is checked, a record is created and the request is assigned to the right person.

  3. The next step is handled

An approval, reminder or next task is triggered according to your rules. Exceptions are flagged.

A scenario to adapt to your tools, responsibilities and the steps that require human involvement.

  • Reduce repetitive handling
  • Move follow-ups forward at the right time
  • Keep exceptions visible

Everyday processes

The work your team repeats can become simpler.

We examine the process before automating it: useful steps, approvals and special cases. Here are four possible starting points.

Onboard a new customer

After a sale, someone needs to recreate the record, open the project, assign tasks and request missing information.

What we can put in place

A workflow triggered by the confirmed sale: records, task lists and notifications, with checks on the required information.

Move requests and approvals forward

Requests get lost in email. Your team has to check who is waiting for what and follow up with the people involved.

What we can put in place

A defined approval flow with owners, deadlines and reminders. Pending requests and special cases remain visible.

Prepare recurring reports

Each week, the same data needs to be gathered, checked and formatted to update the team.

What we can put in place

Scheduled collection and preparation, consistency checks and distribution to the right people, with missing data flagged.

Handle documents and invoicing

Incoming documents need to be classified, attached to the right record and checked before the next step.

What we can put in place

A workflow to classify documents, prepare useful fields and request approval. AI can help read documents whose formats vary.

Client work · DealCoach

From financial data to reports in a SaaS platform.

For DealCoach, we extended the data flows and reporting of an existing platform. QuickBooks data was integrated into its analytics environment, alongside new reporting pipelines.

  • Integration of QuickBooks financial data.
  • Reporting pipelines using Node.js and Google Sheets.
  • Data available within the platform for advisors and their clients.

What we deliver

A process that moves forward, with clear rules and oversight.

Automation covers the workflow, the connections it needs and how to handle situations outside the expected path.

A simpler process

We clarify the trigger, required data, actions, approvals and owners. Steps that are no longer useful are reviewed before building.

Exceptions accounted for

We define alerts, recovery and cases to handle manually. Duplicates, missing data and interruptions are part of testing.

A team ready to use it

Documentation, onboarding and support arrangements are planned. Your team knows how to follow a run, recognize an incident and request a change.

Technical choices that serve the need

The choice depends on your software, processing volumes, business rules and the team that will maintain the automations.

Connect the steps

Build the triggers, conditions, reminders and actions that make up the process.

  • n8n
  • Make
  • Zapier
  • Power Automate

Work with your applications

Connect the process to your team’s records, documents and communications.

  • Salesforce
  • HubSpot
  • QuickBooks
  • Microsoft 365
  • Google Workspace
  • Airtable
  • Slack
  • Jira

Handle specific business rules

Develop the connections and processing that need more control.

  • APIs
  • Webhooks
  • Node.js
  • Python
  • Scheduled tasks

Add AI where it helps

Interpret a document, classify a request or draft a response, with appropriate review.

  • AI
  • LLM
  • OCR
  • Structured extraction
  • AI agents

Access, licensing, usage costs and maintenance are reviewed before choosing tools. Some steps rely on simple rules; others may benefit from AI.

How we work

Start with a useful process, then expand.

We work with the people doing the work. Each step links to the corresponding section of our delivery framework.

  1. Diagnose

Observe the current steps, volumes, time spent and exceptions encountered.

  2. Prioritize

Choose a first process based on potential gains, feasibility and effort. Define success criteria.

  3. Design and build

Simplify the workflow, connect tools and build rules with the required approvals.

  4. Validate in a pilot

Test with the team on representative cases, including errors and manual recovery.

  5. Deploy

Roll out gradually, check the first runs and help the team get started.

  6. Monitor and improve

Review incidents, costs and actual time saved. Adapt the process to new needs.

Before automating your processes

What is the difference between integration, automation and AI?

Integration moves data between tools. Automation triggers and connects actions according to rules. AI can interpret a document or draft a response when inputs are less structured. A project can combine all three.

Do we need to change our software?

We first examine what your current tools allow: connectors, APIs, exports and access permissions. We then propose a suitable approach. Technical and licensing limits are identified before confirming the scope.

What happens when a process encounters an exception?

We define which cases can be retried automatically and which need to be handed to a person. Logs, notifications and assigned responsibilities help track runs and handle incidents under the agreed arrangements.

How do you measure the gains?

We compare time spent, volume processed, errors and rework before and after the pilot. Licence, execution and maintenance fees are included when assessing whether to continue or adjust the solution.

What budget and timeline should we expect?

They depend on the number of steps, systems, available access and exceptions to handle. We define an initial scope and estimate after diagnosis. Recurring costs and support are specified in the proposal.

Who maintains the automations afterward?

We agree responsibilities with your team and partners. Documentation and onboarding accompany delivery. Support, monitoring and improvements can be provided under the agreement, including when your software or rules change.

Connect your systems

Move the required data before triggering the next steps in the process.
